Job Description: Administrative Support

Reports To: Wellness Director/CFO

 

Position Status

• Full-Time/Part-Time

• Hourly

• Non-Exempt

 

Minimum Qualifications

• Associates Degree preferred

• High School Diploma or General Education Diploma (GED)

• Experience in Medical Billing and Medical Records Management

• Office administrative experience preferred

 

Required Abilities and Attributes

• Competent in basic computer skills including use of Microsoft Word, Excel, Access and Outlook

• Strong communication skills

• Ability to adjust communication tactics to effectively communicate and establish rapport with a variety of personalities

• Ability to communicate with clients, guardians, coworkers, case managers and clinicians

• Ability to understand and utilize clinical language and terms in conversation and written documentation

• Ability to demonstrate proficiency in proper and correct medical billing practices for the behavioral health field

• Ability to research denied claims and correct claims for resubmission

• Ability to demonstrate appropriate level of customer service on the phone and present appropriate phone etiquette

• Ability to work with fluid scheduling process for clients and relate effectively with case managers, clients, guardians, and clinicians

• Must demonstrate creative problem solving abilities sufficient to navigate unique situations, dynamics, and logistics

 

Scope of Responsibilities and Duties

• Implement the various billing programs and systems in place

• Manage the RMR scheduling program effectively

• Generate and process reports for agencies and agency staff

• Facilitate the batching and sorting of client notes for the billing process

• Appropriately use the Cortex and RMR programs to update client information, monitor client usage, enter billing information, process

medical billing forms, research past and present billing claims, and track billing processes

• Establish and maintain client records; including periodic maintenance of client records and frequent updates of client information

• Facilitate conversations and build rapport with staff at various agencies to problem-solve and process billing issues

• Prompt supervisor for items and needs to accomplish job duties (i.e. office supplies, training, etc)

• Utilize excellent customer service skills when working with agency staff, clients, case managers, clinicians, and co-workers

• Be available for and participate in ongoing trainings

• Facilitate information exchange regarding clients with internal personnel and external agencies including RMBHS staff, guardians, case managers and clinicians

• Process client progress notes, capture accurate claims information, and perform billing in a concise, professional, and accurate manner

• Maintain a clean office environment by disposing properly of garbage and keeping personal space maintained

 

Physical Requirements

• Frequent sitting, standing, walking, bending, reaching, and grasping

• Several hours using a computer each week

• Lift and carry up to approximately 50 pounds

• Ability to work in an office environment

• Able to process letter and parcel mail for delivery to customers

• Able to hear, understand and interpret supervisory and co-worker instructions and information

• Able to read, understand and interpret written instructions

• Able to communicate verbally and in writing

 

Work Environment

Primary

• RMR Office, work primarily consists of administrative and clerical duties

Secondary

• United States Post Office, processing company mail for delivery
